How do I co-exist with other vendors?

How do I co-exist with other vendors?

Food-VendorsScenario; You are pitching to a potential customer about your service offerings, and potential customer says that he is already working with a vendor in the same space. How do I stay in the mind of this potential customer and remain an option?

 

Firstly, I would avoid saying anything negative about the other vendor. If you know something about the other vendor – take this opportunity to highlight some of the things that vendor does really well. Then talk about the differences between you and the other vendor. Highlight your differentials without saying anything negative about the other vendor. Sometimes you can create a special niche while you are talking to these potential customers.
For example: “Yes. I know that vendor. They are very professional and have great prices in larger, big package orders. What differentiates my services is that I focus on custom orders and sizes. Every client has an individual technical support person (a real person). Your assigned support person has the authority to solve your issue. They don’t need to wait for approval. So, whenever you need a more individualized service, please keep me in mind.”

 

Start networking with those same vendors

Stop regarding these vendors as competitors. Start networking and offering your help and services to them in a sub-contractor possibility. Find a way to collaborate by advertizing your niche or differentials to them. For instance, offer the vendor your services for customization to help them provide a fuller package to their clients.

How to you work with a vendor

 

Once you are in a working relationship with your “now collaborative” vendor, make sure you have a clear “understanding of work” between the companies. Some things you need to include:

  • Explicit description of the work and time line
  • Pricing or hourly rates – and how/when the payment will be made
  • Acceptance criteria (make sure you agree upon what “done” really means)
  • Consequences of note meeting the delivery timeline or quality requirements
  • Agreement of who is the project manager (decision maker) on the project.

Conclusion:

Clearly understanding the project, who is in charge, what the time lines are, and pricing/charges often greases the wheels to a smooth project.

Who to make friends with at work

Who to make friends with at work

Who are the people who are important to your career? Who are the people who can help you be happy at work? Who are the ones who can help you or be someone you can rely on? We are looking for tips on how to identify these people as well as how to know what level of friendship you should have with your co-workers.

 

Best advice is to clearly know where you want to be, do and have.  If you can clearly articulate your career goals and professional path – then it’s easy to understand “who to make friends with at work”.   Statistics show that we typically hang-out with people in our same social-economical standing.  If we want to advance, get promoted, make more money, be more affluent – we need to start meeting and networking with those people that have already achieved what we want to achieve.  This means that we need to define our own career goals and take full ownership of our own professional growth.  Once you have that clearly defined, you can start networking (making friends) with the right people at work (i.e. the people who can help you achieve your goals).

Consider finding mentors in various areas of your professional development:

5) How to get other managers from sibling departments recognize your value to your company (If your manager is the only person that knows your value – you are doing yourself a disservice).

Today’s question came from a busy entrepreneur about his marketing plan.

Should I have specific segmented brands or one brand that does all at different price levels?

All markets have different performance and cost needs. Should we have multiple product brands – i.e. low cost/low performance and mid/high or have one brand that can stretch across multiple performance levels and price according to options? It makes sense to economize the product manufacturing chain but, what is everyone’s experience when consolidating a full portfolio into a single brand lineup?

Your Brand should solve a specific problem for a specific niche or class of people. If you have multiple visions/missions you should have separate branding and marketing strategies. For example: Sarah has her Health Coach business and she also sells her own brand of peanut butter.   Sarah should have separate branding and marketing strategies for those very different product and businesses.

Within each separate brand – you should have a product funnel strategy that leads your target client up your product/service pricing structure. Normally people start off with free samples – to allow the target client to get to know you (like a first date). In Sarah’s example, she may offer a complimentary discovery health sessions, newsletters, articles, short audios/video for her coaching; and free samples of your peanut butter for her other brand.

 

Then you create some low, mid, high end offers for each separate brand. In Sarah’s example, she can create group workshops, subscriptions based programs, one-on-one coaching programs, and then high-end product bundles with personal trainers, personal chef, image consultant, and a high-end shopping spree when your health goals are met.
If you only want to sell your coaching and peanut butter to High-Profile, Affluent clients (that’s your target client) — then you advertize, market and visit only the places where the High-Profile, Affluent people are. Your price points are selected to match the budgets of your target niche/clients.

 

Do you have an umbrella Brand that covers all your products?

You will have an Umbrella Company that owns the Health Coach and Peanut Butter business. But the branding will be different. For instance, Kraft owns Kool-Aid, Velveeta, Miracle Whip and Maxwell House. But each of these products have their separate branding, target market and product Funnels.

What’s in a job title?

jobtitleWhat’s in a job title? How does one pick the appropriate job title? What does a title say about us?

A rose given any other name still smells as sweet. So – what’s in a job title anyway? How important is it?

If you had asked me this question several years ago, my answer would be very different. My answer would probably center on individual prestige or associated with the number of years and experience associated with a particular job role or responsibility. Today, my recommendations lean toward looking at what we are trying to accomplish with that title.

Today, I would go back to the company’s goal or the directive. If – for instance, your job is to influence high-profile, high-paying client – then your job title needs to be prestigious enough to warrant their time and attention.

A high-profile client may schedule time with a Director of Research versus a Software Engineer.   But having the owner of the company be the one to install the product at their test lab – may have the opposite effect. It may put unwanted exposure that you are a one-man show versus a long-established company. In that situation, you might want to underscore your founder/owner status and just state that you are here to install their new software.

An unhappy customer may feel better heard if the Customer Advocacy Manager is working with them, versus Tech Support Staff (even though the Tech Support person is handling all the customer advocacy issues).

The audit team might feel better talking to your Division Audit Officer versus your QE Manager (even though the QE Manager is also the one handling all the Audit and Process issues).

Since business cards are inexpensive and you can create your own, having several cards with different titles is useful. To avoid fumbling through which card to give out – have your goal and purpose in mind before the networking event or meeting. Then only bring those cards to the event.

So, in general – my recommendation is to directly associate the job title that will make it easier to achieve the results that you want. Don’t focus on the “years of experience” or “conventional title hierarchy”. Get creative in your job titles – and focus on what you really want to achieve with them.

If your target client values creativity and inventiveness, get creative with your titles. If your target client is more procedural and strategic, then more conventional titles would appeal to them. Focus on the goals and what would attract the target clients.

Are there career risks a person should never take?

Today’s question came from a busy professional interested in freeing some time and space to advance in his career.

Are there any career risks that a person should never take?  These career risks may be on the job, during a job search, while networking, or some other aspect.

Everyone is different, so it’s difficult to say what absolute career risks different people should never take.  Career risks are relative to each person’s tolerance to financial security, family obligations, and debt/credit issues.
But there is the adage of “The bigger the risk, the higher the reward”.

The general rule of thumb is – if you are proactive with your risk-management activities, then no career move is off the table.  Take the time to do a risk analysis (determine the probability and impact of the risk) on your career decision. If the probability of it actually “falling apart” is low and the impact is insignificant, then simply go for it.
If the Probability of it “actually falling apart” is HIGH AND the Impact of the situation is significant/major – make sure you have a contingency plan in place.  If you have an appropriate contingency plan in place, it’s still a feasible path.

For example – What if you are considering giving your manager an ultimatum to give you a raise or you will walk?  What is the career risk of this action?

1) Since you have been the top sales person, was responsible for single-highhandedly responsible for 60% of the company’s profits, MVP for the last 3 year and is currently making lower than 10% of your sales – the probability of you getting fired is low AND the impact of moving on is low because you can easily find another job based on your past performance and client connections.  In this scenario – go for it.
2) But what if you are already being paid more than you bring in and are in debt (which is why you need to ask for a raise)?  At the same time, you have been getting Average and Below-Average performance ratings in the last 3 years. Well then the probability of you not getting the raise is HIGH and the impact of you losing your job (via this ultimatum)  is significant (because you are currently in debt and have not savings).  So – should you avoid asking for the raise? Is this a career risk that you can’t afford to take?  Not necessarily.

My recommendation is to find another way to accomplish your goal.  The real goal is to increase your income. Propose a change in position in the company that is salary based (versus sales commission).  It may be a better match to your talents, allowing you to get higher performance ratings and a higher, consistent income/salary.

So – take that time to do a risk assessment on your significant decisions, regardless of the situation (professional, personal and private).

Finding Time for Professional Growth

Hello, this is Laura Lee Rose – author of the books TimePeace: Making peace with time – and the Book of Answers: 105 Career Critical Situations.   I am a business and efficiency coach that specializes in professional development, career management, time management, and work-life balance strategies.

Everyone is busy. But if you don’t make the time to manage your career, your career will manage you. Today’s topic is how to find time for professional development.

Most people find comfort in the idea that they:

  • Don’t have time for professional or career development
  • Too busy with daily work to focus on future paths
  • Company doesn’t provide the time or funds for career development
  • Not interested in staying at this company
  • Company doesn’t have any growth opportunity for me

Whether these statements are true or not, they are irrelevant.

  • Your career and professional development is not your company or manager’s responsibility.
  • Your work ‘happiness’ is not your company or manager’s responsibility.
  • The company is not responsible for helping you keep your job.
  • You are in total control of your own career, your own time management strategies, your own personal and professional development.

Both personal and professional development can be accomplished with 10 minutes a day.  Audio tapes, short articles, online programs, discussion groups, pod-casts, as well as various mobile devices make it possible for you to study:

  • On the way to work
  • At your desk during a 10 minute break
  • Over lunch either with friends or alone
  • During your workout
  • Through a walking meditation
  • A 15 minutes distraction from television or video games
  • Standing in any type of line

Everyone has 10 minutes a day for things that are important to themselves.

Also, identify things you can blend into what you are already doing.  Some examples:

  • At meetings, search for possible mentors, learning and even promotion opportunities
  • Invite mentors, coaches and possible new employers to lunch or outside event
  • Take notes and gather data during your normal tasks with the goal of writing and submit a white paper to a conference.  While at the conference, you can participate in an abundance of other learning sessions.
  • Take notes at conferences so that you can easily turn them into reference materials.  Share them with your team and sibling departments through lunch-bag presentations or webinars.

If you incorporate these things as you go along (with the goal of continuous learning and developing), it doesn’t really add any time to your day.

Once you clarify your professional development goals, opportunities will automatically appear.  This isn’t because they magically appear out of nowhere.  It’s because your vision is now clear enough to see what was always there.

But – how is the best way to recognize opportunities

Quick Tips

  • Event that repeats …there an opportunity there.
    • Boss asks the same questions over and over again
    • Clients make the same mistakes or asks the same questions
    • A mistake is made – there’s a problem to solve – which means an opportunity
    • Whenever you are frustrated or overwhelmed – there’s an opportunity
    • Whenever you are disappointed … there is an opportunity

 

When you know what to look for – there are opportunities everywhere. This may bring an immediate feeling of overwhelm-ment and stagnant of indecision.   Jot your opportunities down as they occur (the IT Professional Development Toolkit calls this the Parking Lot Method).  Jotting them down will avoid being overwhelmed. Realize that this is merely a smorgasbord; you simply have to pick and choose.

 

Conclusion: Use your scheduled 10 minutes a day to fill your pipeline of knowledge.

Use your scheduled 10 minutes a day to shift and sort the opportunities that start appearing. Think about how which event can help you the most; which event you are most ready for; which event you can implement right now.

But all these things start with the desire and commitment to start.  Pause for 10 minutes a day and devote that to your professional, personal and career development.

Six tips to breeze through a phone interview

1) Smile and carry yourself as though you are having this interview in person

2) Dress professionally as though you are having this interview in person

3) Look at a picture of your best friend and act as though you are talking to them.  The ease and confidence will come through the phone.

4) Carry on a “give and take conversation” versus a Q&A interview.
For instance, if they ask you how you conduct XYZ – after you have briefly and concisely answered the questions, ask them “what type of tools or procedures do you follow?” or “What do you find to be a pain point in your procedures?” This allows you to learn just as much about them as they do about you.  It also gives you additional opportunities to show skills that directly aligns with their procedures.  For example: After you have bounced the question back to the, you find out that they use ProductX to keep track of their steps.  While you didn’t use ProductX in your last job, you used it in a previous job.  And now you have an opportunity to mention your experience with ProductX.  If you had not bounced back the question at that time – you would not have been able to supply that additional experience that adds value to your background.

5) Take notes.  When you are on the phone, your mind is tempted to wonder directly to an answer, before you even heard the entire question.  Quickly jot down a note if something is triggered while they are speaking.  Then return to listening to them.  You can return to that note afterwards.

6) Avoid the brain-dump.  Because you can not see the interviewer, it’s tempting to catch diarrhea of the mouth.  

It’s easy to assume that you understand the question and feel that you have to give a full biography of everything that you know about that subject. And as you are speaking, you think of more and more things to share.  This comes off more as rambling than informative.   Before you fly-off, pause and paraphrase what you think they are asking – to make sure you are answering the question (and in the level of detail) that they are interested.  If the question is vague, ask for clarification in stead of rambling off in several directions.

Example:  Interviewer: “How did you accomplish that?” – You could go into minute detail of how you coded something.  But if you answer: “That project had many different levels.  Would you like to know the high-level general process? the team, client and executive interactions? or more about the specific coding challenges?”  This shows the interviewer that you are aware of the different levels involved – and want to answer the question that they are interested in.

When you are interviewing in person, you can read body language to see if you are interested in your answer.  But when you are on the phone – you can’t tell if they are shifting in their seats, pacing or rolling their eyes.  So keep your answers concise and brief.  Pause and ask them if they need would like more detail.  Pause and ask them if this is what they were interested in.   Pause and ask them if you have fully answered their questions.arrow2

What should you say and not say during an exit interview?

Although there are many reasons for leaving a job, it’s a good rule of thumb to leave it on good terms (even if the work environment was difficult).

Some things to consider:
1) When asked “Why are you leaving”, avoid saying anything negative about the position or people that you are leaving.  Focus on the fact that this current position has prepared you for this new opportunity.  Appreciate all the learning experiences and skill set that this current position afforded you.  Without this current position, you would not have been able to advance to the next level.

2) Leave with an attitude of service.  Offer 1 week of limited phone or email consult.  Even though your last two weeks at the current job should be training and handing-off to your replacement; many organizations don’t actually rehire until after you have gone and they may have some questions after you leave.  Offering some availability, illustrates your desire for the department to succeed after you leave.   It’s is not likely that they will call.  But it’s a nice offer to make.

3) When asked “Is there anything we should change, to better retain good employees like yourself?”  be prepared with procedural improvements that support the business mission and goals.  Avoid emotional and personal comments on managers and co-workers.  Focus on steps that will increase the company’s revenue, customer satisfaction, and efficiency.

4) Avoid losing contact.  Keep in touch with all your significant co-workers, managers, mentors and clients from this job.  Business network with these people after you leave.   Things change. Their positions will change; their needs will change; your position will change and your needs will change.  Opportunities will rise because of these business networks.

5) Leave with a strong handshake and smile.  Exit a job just as you would leave a job interview.  Promise to keep in touch and wish them well.

7 Tips to Finding a Mentor

Most successful people believe having a mentor greatly helps them stay on target and even excel quicker.

But how do you find a mentor, particularly with someone who you might not have a relationship
with yet or resides in another location.

7 Tips to finding a Mentor

1)      Outline the items/areas that you are interested being mentored or coached.  There may be several areas that you are interested in.  So – don’t feel that one mentor has to fulfill all areas.  You can have one mentor for “how to better market yourself in your organization”.  You can have one for “how to increase my technical expertise and influence in the organization”.  You can have one for “how to step more into the spotlight in trade-shows, user conferences, speaking engagements”  You can have one on advice for starting your own business.

2)      Once you have your areas outlined – talk to your manager about wanting to improve these specific areas.   Ask your manager’s advice on who in the organization would be good mentors in those areas.  Ask your manager if he/she would provide a warm-introduction (simply touch base with that  person to see if they are open to something like that).

3)      Do the same with your HR representative.  Share your desire to get a mentor with your HR representative.

4)      Ask co-workers and friends if they have been a mentor, have a mentor or have a recommendation on one.

5)   Attend your professional association meetings, networking groups and subscribe/read your industry magazines.  Be on the lookout for people giving relevant presentations/talks at your professional networking groups OR authoring articles in your industry journals.   Introduce yourself by telling them how much you enjoyed their presentation or articles.  Discuss various points that you really connected with.  These are great ice-breakers.  Tell them that you would like to interview them for your article, blog or newsletter. During your interview, share your professional goals – and ask their advice on how to find a mentor in their specific area.

6)   Repeat the above for other experts in your areas of interests. Start adding these contacts to your LinkedIn or Facebook space.  Reciprocate and ‘Like” and provide positive comments on their businesses.  Go out of your way to give them testimonials and endorsements on their pages.  This helps keep you on their radar.

7)      Make use of your facebook and  LinkedIn.com connections.  Do a search/review of your network to see if they have the qualifications necessary to be a guide.  You mentor doesn’t need to be in your current organization or company.  It is actually beneficial to expand your reach beyond your current company.  When you find someone that you want to reach out to – simply state your goal, and that you admire their accomplishment.  Be specific on what you really like about their background and achievements, highlighting any commonalities between you and them.  Admit that they seem to be in the perfect position to suggest a possible mentor.  This gives the person an “out” without alienation.  If they want to mentor you, they will often suggest themselves and a meeting time.  Otherwise, they may offer to connect/introduce you to someone else.  Either way you win.

This last point is MOST important.  Reciprocate either by paying them for their time and expertise; gift their family dinner/theater/entertainment tickets; offer your services in the areas of your expertise, etc.  Avoid taking without giving back.  Otherwise, you run the risk of over-extending your welcome.  And you really want to develop a long-term working relationship with these masters.

How to Hire Friends or Family Members

Hello, this is Laura Lee Rose – author of TimePeace: Making peace with time – and I am a business and efficiency coach that specializes in time management, project management and work-life balance strategies.  I recently received the questions “What is your #1 tip on hiring friends or family members?”

Small business owners may look to family and friends for staffing assistance.  Even if you are not a business owner, you may feel obligated to recommend a friend or family member.   Though you may know and trust these people more than a stranger, there are several things to consider up-front.

There’s always a high risk of losing the friendship or creating bad feelings with the family member or friend. It’s just a risky business proposition. If you are still going to do it, here are 5 tips to implement to make is a smoother experience.

1)     Have the right reason for hiring your family or friend.

Example of the wrong reason:  Simply to help them get on their feet and you feel obligated because they are ‘family’.  This isn’t the best reason to invite a friend or family member into your business.  If you want to help them out, help them with their resume, forward job leads their way, pay for their skills training or certification course, coach them in other attributes that you feel is keeping them from success, etc.   There are many other ways to help them get on their feet, other than having them affect your business and your quality of life.

Example of the right reason They have the right skills, personality, work ethics, business reputation, professionalism, exceptional work experience in relevant industry, you have successfully worked with them in the past, and you would love to work with them in the future.  They are also mature and feel that your relationship will not be affected if the business relationship does not last.

2)     Documented detail expectations and work contracts.

In the interview and hiring phases, get everything in writing.  It’s especially critical to have formal contracts when working with friends and family.  This assures everyone is on the same page and that you have a ‘meeting of the minds’ before you start. Have the contracts and documented approved and signed by all the appropriate stakeholders.  Any modification of these agreements must also be documented, approved and signed.

These documented expectation and work contracts should be instituted for all employees; but critical for family and friends that you hire.  Follow-through on any consequences or rewards documented in those signed contracts.

3)     Avoid being their direct report on the job.

To eliminate daily conflicts, it might be good to assign your family or friend to an experiences and high-performing manager or mentor.  Share the particulars with your manager to assure him/her that your family member should not be treated any differently than any other employee.  Share the PBC and IDP documents with the manager (Sign up for the Professional Development Toolkit to learn more about PDB and IDP documents).  Also, tell your family or friend that they need to go through the manager or mentor – and not directly to you regarding work issues.

4)     Proactively eliminate venting to other family members.

Because this is your friend or family member, you will have mutual family and friends in common.  And they might have a particularly hard day and vent to mutual friends and family members.  Realize that it is very possible that you might hear “through the grapevine” some grievances and complaints; and friend in common might feel obligated to take a side in the conflict. This will not only cause strain on your relationship with your employee but with the family and friends you have in common.

Before you hire your friend or family member, outline your grievance policy and procedures.  Make it very clear that you expect him/her to take any grievances directly to his/her manager.  If the issue is associated with the manager, they should follow-up with their 2nd line manager.  Make I clear that you will not tolerate any side-routes through family members.  There will be consequences to not following this grievance policy that could include probation or lose of position.

This grievance policy should be abide by all employees – but especially critical for employees that share family and friends.

5)     Be over-diligent in equal treatment to all employees.

If you feel you need to institute a new policy, procedure change, rewards, bonus, advance pay or improvement plan, you need to institute, document and announce the change for the entire company.  You need to avoid the perception that your family member is receiving special treatment (either positive or negative treatment).  You can do this by being over-diligent in your documented company policies.  You also need to document all your employee interactions regarding performance reviews, rewards, performance improvement needs, reasons for pay increases or decreases, etc.  Error on the side of too-much proof regarding all employee interactions and performance issues.

Bottom line:  I am not recommending anything that should not already be done for regular employment and company policies.  The key is not to deviate these procedures based upon a personal relationship with the potential employee.  If you friend and family member feels uncomfortable with the level of professionalism of your business, then your company is simply not a good match for them.  It’s best to find out at the interview stage.
