What are the best ways to ask managers for a job title transition?

What are the best ways to ask managers for a job title transition?

It’s recommended that you create (and document) an Individual Development Plan in which you outline your career goals and professional path.  At your regular (recommended weekly or twice a month) one-on-one manager meetings, you frequently review your goals and IDP plans with your manager.  If you do this proactively and regularly, when a position becomes available your manager is neither surprised by your interest nor taking it personally.  They are already aware of your goals and have become a co-conspirator to your success.  But keeping your manager in the loop regarding your IDP, they can also bring those matching positions to your attention.  If you don’t include your managers in your plans, it’s just a more difficult conversation.

3 Tips to manage two jobs.

Career decisionToday’s question came from a busy professional:

I have been asked to take on 2 day jobs, what are your tips and advice to ensure that it manages both of them without any problems? One of them has a wider scope than another.

 

  1. If you have been “asked” to take on 2 day jobs, you always have the option to say “No, thank you” to one of them. That is always an option.
  2. One way to fully accommodate 2 full-day jobs is to work 16 hours a day and get paid separately for each day job. Otherwise, you are not really handling 2 day jobs; you are merely managing several products, roles and responsibilities. This isn’t that different from many other employees with multiple hats.
  3. My recommendation is to manage your projects and not your “jobs”. Clearly identify the tasks, priority of the tasks, the deadlines and stakeholders for your tasks and projects. Then schedule your time appropriately according to the priorities. Limit your schedule to the 8 or 10 hours of work in which you are being paid. Be transparent with your managers on what you can realistically deliver, and at what quality in that time. If the success is important to your manager, they will be realistic on what can be delivered.

Regardless of how hard you push and pack, a 5 pound bag can only handle 5 pounds of stuff.

Are Your Meeting a Waste of Time?

Small business owners and their small staffs are busy, and the last thing they need is an unproductive meeting that drags on and on. How do you tell if your meeting is wasting valuable time and how do you correct the problem?

Some basic rules for meeting management will help the situation:

1) Have a specific purpose and goal for the meeting.

2) Only have agenda items that support and accomplish that goal.  (If you have multiple goals for one meeting, then you run the chance of wasting valuable time for the people that are only interested/involved in one of the goals.  Call different “shorter” meetings instead).

3) Only invite people that have the authority to “do something” to accomplish the meeting’s goal.

4) Setup and publish the meeting’s purpose, ground-rules, time-limits and explicit agenda-topics.

5) Have a note-taker that is not expected to actually participate in the meeting to take notes and publish the notes (you can now include video taping or audio taping of the meetings as well — but you still want someone to quickly summarize the results and action items)

6) Always do an end-game review:

  • Review/Summarize the highlights and decision;
  • Decide if the meeting’s purpose and goal was actually accomplished;
  • Emphasize the “Call to Action” items;
  • Identify the explicit owners for each Action Item;
  • Assign a deadline or time-frame for the item;
  • Clarify the success criteria for each Action item (make sure everyone in the room has the same understanding of what DONE really means in this specific issue – make sure everyone has the same expectations);
  • if it was decided that the meeting was not successful in completing it’s goal – Outline any remaining Open Items,
  • Specify the date/time for the next meeting if there are any Open Items and who is in charge of facilitating and who should be attending that next meeting.

Often times meetings are unsuccessful because they simply do not have the right people in the meeting to make the decisions.  If you have a specific goal for each meeting, you can decide early on if the meeting has the right people to accomplish the goal.  If the right people are not there – do not proceed with the meeting OR have the right meeting for the people that are there.

How Should Employed Candidates Job Search Secretly?

Today’s question is:  How Should Employed Candidates Job Search Secretly?

The most effective way to job search secretly is to perfect your business networking skills.

I am assuming that you have already explored promotions and lead positions with your current manager.  I am assuming that your manager is aware of your career goals and individual development plans.  I am assuming that you feel that your manager can not assist you in these areas.
Some networking options available to you are:

1) Don’t overlook other positions within your company.  Get to know co-workers in sibling departments and invite them for lunch to find out more about their department, positions, products, etc.

2) Offer your services to sibling departments, nonprofit organizations, friends and family – doing the things you want in your new job.  Illustrate your skill and talent in this area to others.

3) Get an appointment with an external recruiter and just talk to them (in confidence) to find out the relevancy of your current skill set, if you need to master a different craft, or gain additional certification to make yourself more attractive to the outside work force.

How to make the right call between multiple job offers

How do job seekers receiving multiple job offers that weren’t quite what they expected know when to accept one, keep hunting, change directions or go off on their own?

job labyrintUse my Pro and XCon list.  Everyone is family with the Pro and Con list.  They list what they like about the job and what they don’t like about the job.  Using the Pro and Con method often results in indecisiveness because you often find that each job has as many Pros and they have Con.  Using my Pro and XCon list is a 3 column list.  You have your regular Pro and Con columns.  But then you add your XCon column.  The XCon column is third column.  You use the XCon column to list what needs to happen to turn the Con item into an XCon (or acceptable to you).

Then use the XCon items in your negotiation meetings.  This strategy actually better directs which one to accept OR if you need to continue to look.

Reminder:  Employers and companies are going to be putting their best foot forward during the interview and hiring process. If you find them unwilling to negotiate at the interview stage, they will be less likely to negotiate after you are hired.  If you do not like how they are reacting to your attempts to create alternative solutions, then merely move on without regret or doubt.

How do job seekers  know when to keep hunting or go off on their own?

My recommendation isn’t to “go off you your own”, just because you can’t find the perfect job.  Only start your own business if you want to start your own business.   Then the next question – after you have decided that you want to start your own business – is when to start it?   And, that my friend, is a topic for another day or better yet – a one-on-one business coaching meeting.

Will have enough money to do a few more things (including supporting my daughter if she needs it). Not very exciting or challenging work. Ask if there are presentation opportunities within the company.
Will have some funds to enjoy my free time.  Will have some free time to enjoy. Ask if there are any opportunities (in this company) to set standards or procedures in the area that you are interested in.
Is there an outside activity that can fill the presentation, publication, and setting standards gap?  Is there another thing that gives me the same fulfillment or filling?

Bragging advice for the terminally shy

Simply put, I give people the time they need to be, do and have whatever they want.

It can be incredibly difficult for women to self-promote, since culture traditionally encourages self-disparaging attitudes in women. But not just women have this problem.  How can you get over cultural barriers, or natural shyness, and really toot your own horn? Here are some tricks, and methods for learning to brag about one’s skill set and experience in order to build a business, attain new clients or get that promotion.
Several avenues:
1) Just Ask.  When you do good work, more often than not, a coworker, sibling department or client will come up and either thank you for your service or complement you.  Take that opportunity to ask them to “put it in writing” as a testimonial or to your manager, and cc you and their manager.  They are always happy do do that.  The only reason more people don’t do it, is because it never occurs to them.  Just Ask.  Make is a point to do something nice and valuable for someone else, at least twice a month and ask for the note or even a video testimonial.
2) Create your Professional and Career Press Kit.  Collect accolades. awards, recognitions, accomplishment, and customer notes in your achievement folder or Career Press Kit – as they happen.  To many times people wait until the end of the performance review to remember what they accomplished throughout the year.  Note them as they happen and you won’t have to remember.
3) Speak up.  Start giving informative and valuable presentations and proposals.  The best way to illustrate your value is to illustrate your value.  If you are in the corporate environment, give Brown Bag Lunch training sessions on the next generation technique; create a proposal on how to either increase revenue, reduce costs or decrease time to market; start a movement to optimize or automate non-billable hours so that everyone can spend more time making money for the company.  Stay visible with videos and even incorporating your head-shot to your email signatures.  Make sure people know who you are.  Make it a point to do at least 1 public speaking engagement a month.
4) Appreciate others.  When someone else helps you, write a note to their manager and cc-your manager and them.  Outline the important task that you accomplished with their help.  Make it a point to thank at least one person a week this way.
5) Shine through others.  Bring in valuable speakers and talent into your department.  Create your own catalyst event to bring others together.  Be the opportunity agent that connects the right pieces by asking experts to speak at your speaking series, interviewing them for the company newsletter, or arranging a consultation on a specific problem that your department or client is having, etc.  Include this as your one-speaking engagement a month activity.
6) Weekly manager or client meetings.  Take the initiative to schedule repeating weekly one-on-one meetings with your manager or client.  Through the act of reviewing your weekly accomplishments, you are getting your achievements some stage time.
7) Don’t keep it in-house.  If your manager is the only one aware of your talent and expertise, you are doing yourself a disservice.  During performance time, all the managers of the same band have to rate and rank their pool of employees against each other.  If you are only known to your manager – you won’t fair well in that comparison.  Start volunteering your service and expertise to sibling departments other target markets.  Be working on at least 1-side project for someone else at least twice a month.  This is a good way to get “thank you notes” from the others and keep the pipeline of jobs coming.

As you may have noticed, I included a schedule to each of these action items.  And each of this actions as associated with actually “doing the work” ( or the right to brag).   The key is keep practicing on a regular schedule.  If you continue to see yourself as shy, the you will stay that way.  If you visualize yourself as a mover and shaker, you will become what you imagine.  A habit is just a thought you keep practicing.  Keep practicing the thought that you are a valuable and vibrant person.

Landing that position in a tough job market

This week’s topic was “Advice for improving the odds of landing a position in a tough job market”

One of the best quotes to keep in mind is the “But what have you done for me lately”.  This is true in the job market.  Companies are in the business to make money.  If you can illustrate tangible evidence in both dollars and sense (common sense), how you have made money for your companies in the past and how you will do it in the future – you will stand out.

So – how do you do this when an employer has 600 resumes to review?

The first thing is to catch their attention upfront.  Acknowledge that they will probably only spend seconds on your resume.  If you don’t capture their attention in those first few seconds, your resume is tossed aside.  Therefore, highlight your professional skills that are directly relevant to the desired position right at the top of the resume; followed by the roles and positions that are significant to this current position.

Eliminate any tasks or duties that distract the reader from your applicable skill set. Don’t feel obligated to do a chronological or historically accurate list of all your employment.  Make sure you expand on the tasks that are in direct support to this new position.  Talk in dollars saved or made for the company.  Use numbers and percentages to illustrate how your contributions directly affected increased revenue or reduced costs.

Don’t be afraid to customize your resume to each application. Decades ago, we created one resume and sent 60 copies of the same resume out into the job market.  Today’s technology allows us to customize each resume to better fit and match the desired position.  Use the same terminology and descriptions in your resume as they posted in their job description. Using the same language allows your resume to pass through any automated resume scanner or filter.

 Include cover letters or hyperlinks in your online applications.  Many companies have online applications as their first-line screening.  One way to set you apart from the competition is to include a cover letter or a hyperlink to your YouTube video resume.  Many online applications will allow you to attach a resume and/or cover letter.  Take advantage of these attachments to show more of your individual and team contributor.

Set yourself apart by including YouTube, presentations, and article links. Go out of your way to illustrate your expertise.  With today’s technology, there is no limit to creating your own presentations, webinars, videos, articles, demos, prototypes or eBooks to tangibly show your skill set and expertise.

You have passed that gate and at the interview stage.  How do you continue to set yourself apart?

Much in the same way as you illustrated your value to the company in the resume; you continue to showcase any revenue generating scenarios in your interview.  Continue to highlight stories and examples of how your dedication and contributions affected the company’s bottom line.

 

Avoid highlighting the skills that you do not have. Even if you don’t have the exact requirements for this new job, you have worked in a similar environment, with a similar tool or have the appropriate transferable skills.  Highlight the skill set and experience that you do have and extrapolate how those skills and experience relate and support this new position.  Focus on the transferable skill set that will set you apart from the other candidates.

 

Conduct the interview as a conversation.  Don’t wait until the end of the interview to ask your questions.  Comment and query throughout the interview like a real conversation.  Learn as much about them as they are finding out about you.  This is a two way street.  Use your questions to illustrate that you have done your homework on their company and position.

 

Collect contact information.  One of the mistakes that people make is not to collect contact information from everyone they interviewed with.  Even if you are going through a recruiter, take it upon yourself to contact everyone that you interviewed with.  Although your recruiter is helpful in setting these meetings up – it’s to your advantage to take charge of the follow-up.  After all, your recruiter works for many job candidates.   YOU only have one job candidate to work for:  YOU.

 

Use your follow-up emails and thank you notes to close the skills gap. When you have identified a gap in your skill set during the interview, use the follow-up notes to close that gap.  For instance, if during the interview you realized that they are not only looking for someone with manual test experience, but with automated test experience (even though the original job description did not include it).  Take this opportunity to download one of the many free automated test tools and craft an automated test on their website or product.  Then include this update in your follow-up email to them.

 

Use the phone.  Many candidates will use email and thank you notes as a follow-up.  I agree with the thank you notes.  To set yourself apart, use the phone as well.

 

Add them to your Linkedin.com.  Stay on their radar.  Just because this position doesn’t pan out, make sure you are on their minds for the next opportunity.

 

What about college graduates?  How do they differentiate themselves?

 

As for college graduates, creating a portfolio of your transferable skills and illustrating how that will increase revenue or reduce costs will help.  A graduate that handled both school and the job market will outshine someone who just attended classes.  A graduate that received glowing recommendations from both the job market and professors will outshine one who doesn’t.  A graduate that has a portfolio of presentations, published articles, or a how-to video about that particular job role or industry will outshine one who doesn’t.  In today’s market, the average will not get noticed.   Decades ago, companies were willing to hire graduates with the knowledge that the candidate will not know much and there will be a long learning curve.   In today’s market, you need to show that you already have the talent and discipline for that particular job.  If more you can show that you will be able to hit the ground running (minimum learning curve and self-motivated), the better you will outshine those that don’t do that.  We are talking about tangible evidence (not just lip service).

How to find a specific job at a specific company

leveraginglink3With the advent of LinkedIn.com (professional social media app), it’s easier to research positions, employees, and company work environment details.  If you are determined to work at a specific company, start business networking with those that work in that company.  Use LinkedIn.com to identify different employees, at various roles and responsibilities.   Start building a business relationship by using your current linkedin contacts to create warm introductions to your new contact targets.

This week’s topic was “How to rebuild confidence after you have been out of work for some time”

We can have a gap in our resume in a couple of ways:

1)    We are out of work (either by chose or otherwise)

2)    We have been continuously employed but not in the field of our choice.

In either case, employers may hesitate because the fear that technology has passed us by; our skills are obsolete; and we are no longer relevant.

The best way to build confidence after you has been out of work for some time is to actually accomplish tangible and tactile things while you are out of work.   Identify your goals for self-improvement in regards to health, education, presentation skills, networking, and family.  Then accomplish those goals.  Most employers like to hire self-motivated people that can solve their own problems.  By using this gap in employment for some self-assessment and self-improvement (while you are still job searching) is a good use of your time.

Since the main reason for employer’s hesitation in an employment gap is the ability to stay relevant in today’s ever-changing technology, the best advice is to stay relevant regardless of what type or how the gap occurred.  You can do this by:

  • Use the gap to learn a new skill, achieve a certification or license
  • Stay active in your profession by volunteering your services to nonprofits or service communities
  • Teach at a local community college,
  • Create online courses in your field of expertise.
  • Speak at local professional organizations or conferences
  • Write articles, blogs or eBooks in your field of expertise
  • Develop YouTube presentations, demos or prototypes as proof of your new skill set.
  • Create a portfolio or press kit of your accomplishments during the gap

Note: If you are volunteering, make sure you are working in the area that will assist you in your job search.  For instance, if you volunteer for the ASPCA and are a web designer – don’t take on the task of emptying out the litter box.  Instead, work on their website, assist with their SEO and engine optimizations, or automate their manual office duties.  Accept tasks that are in line with your next job description.

Then update your resume with your new skills and links to your articles, videos, apps, etc.

The employer’s fear of the “gap” is that you have fallen out of touch with your field.  If you can show that you have sharpened your skills (during the gap), then you have tangible evidence that you are not only still relevant in your field but an expert.

Where do I place these volunteering and other activities in the resume?


Remember that your resume isn’t a list of all your “paid” employment.  It’s a place to highlight your skills and talents.  The fact that you didn’t get paid for your services does not detract from your experience and expertise.   I would place all the relevant professional skills at the top of your resume.  I would also include them in your Work Experience.

The resume doesn’t highlight the salary for each position.  It just highlights your ability and skills.

Employers that interview but never hires.

This is Laura Lee Rose, a business and efficiency coach that specializes in professional development, time management, project management and work-life balance strategies.  In my Professional Development Toolkit package , I go into professional development and real-world IT topics in detail.  I know the usual reasons for not hiring a particular individual, such as under-qualification or just-not-a-fit; but what are the reasons employers interview and then decide not to hire anyone?

There are often different reasons why employers interview and then don’t hire.  Because reasons are normally asynchronous to the hiring process, they are less evident.

Since the interview process takes time and money (from advertizing for the position, filtering and sorting incoming resumes, initial candidate screening and the interview meeting),no company goes into this process with the idea that “they do not intend to really hire anyone”.  They enter this process with the full intention of finding good candidates and eventually a good employee.

But because this process takes time, things can change during the interview process itself.  The longer it takes to find someone, the higher the risk of something changing.
Some things that they may realize during the interview process are:

1) The longer it takes to find the right person, the higher the risk that they realize that this position isn’t as critical as first thought.  They may feel that they are doing fine without the extra hand.  After viewing several candidates, they realize that they rather train and promote from within. Or they find that they have actually completed the project that they were trying to hire.
2) The position disappears because of an re-organization or business strategy change. It could be combined with some other role or eliminated altogether.
3) A new project management strategy is instituted such that either the schedule is extended to allow the current resources to handle the added tasks; or the project scope is diminished such that the current resources are satisfactory.
4) A hiring freeze was just initiated.
5) A different way of subsidizing the resources is implemented instead. This could be a short-term contractor, an affiliated partner is providing the service (outsourcing), the company decides to eliminate that service altogether (and refer clients to their referral partners)

It’s important for job seekers to not take it personally, and work hard to stay on these potential employer’s radar.  Things change – which means things will change again.  If you stay on their radar (through continued business networking techniques), when things change back again, you are on the top of their Rolodex.
